Your challenge

Brief Role Objective:

The primary role of the Team Assistant is to provide administrative and operational support to the Regional Wealth Planning Head and Head of Wealth Planning. In addition, support may also be provided to the Admin Manager and Paraplanning Manager where specifically directed by the HOWP/HORWP.

This is a broad role with key responsibilities to ensure the effective, compliant running of the team including taking ultimate responsibility for effective coordination of team policies and procedures in line with internal audit requirements. Day to day responsibilities would include diary management, assisting with presentations, administrative tasks, team operations as required. The Team Assistant role is a proactive role Areas of support would cover wealth planning operations both in London and regionally and family governance offering.

Key Responsibilities:

  • Ensuring all audit related deadlines are actioned and adhered to. Taking ultimate responsibility for project managing key strategic projects allocated via Head of Regional WP or Head of WP.
  • Assisting Admin Manager, Team Assistant and HOWP in change projects which impact the teams, regulatory landscape and wealth planning service delivery. For example, MIFID II, DB pension transfer projects and continued integration with LGT procedures & processes.
  • Mailbox and Outlook management (for key personnel only)
  • Diary and calendar management (for key personnel only)
  • Work in Progress spreadsheets
  • Process expenses, invoices and payments (for key personnel only)
  • Arrange travel bookings (for key personnel only)
  • Organise, co-ordinate and manage team events and offsites
  • Work with the Marketing department on centralised events
  • Prepare presentations
  • Align holiday schedules
  • Manage subscriptions
  • Process gifts and entertainments
  • Record management of all training requests
  • Complete applications for industry awards
  • Manage IT requests and issues
  • Own brochures and fact sheets
  • Manage client data recording
  • Ensure all relevant sign offs are in place where required
  • Support with onboarding of new joiners offboarding of leavers and coordination of messaging across the team.
  • Assist and take responsibility for coordination of key project work across the team; this includes such things as policy and procedures reviews, consumer duty, new technology reviews.

Key Skills and Technical Requirements:

  • Good organisational skills
  • Self motivated with an ability to project manage and deliver tasks to completion.
  • Strong attention to detail
  • Able to take the initiative within an understood framework of scope and authority
  • Deal with all matters promptly, professionally and effectively
  • Good telephone manner and confident in speaking to providers, as well as colleagues
  • Strong time management skills and collaborative approach to working.

Other Skills and Attributes:

  • Microsoft Office (Excel, Teams, Outlook, PowerPoint)
  • No specific qualifications are required within the role however, broad knowledge of the wealth planning offering and, wealth planning operations would be essential for the role
